A useful report narrative identifies the component and location, states the observed condition, explains the practical significance and recommends a reasonable next action. Avoid unsupported conclusions and vague phrases.

Photographs support a narrative but do not replace it. Include enough context that a client, contractor or reviewer can locate and understand the condition later.

Use plain language. Reserve urgent wording for genuine safety or time-sensitive conditions and match the recommendation to the evidence available.
